When you register for a race, create an account, sign up for our newsletter, or contact us, we may collect your full name, mailing address, email address, phone number, date of birth, and gender (for age-group placement). For race registration, we also collect emergency contact details, race history, waiver and liability release signatures, and any medical information you voluntarily provide for safety purposes. Payment and billing information is processed securely through third-party, PCI-compliant payment processors — we do not store your full credit card number on our servers.
Information collected automatically. When you visit our websites, we may automatically collect your IP address, browser type, operating system, device information, pages visited, time spent on pages, and referring website addresses through cookies and similar tracking technologies.
How We Use Your Information
We use the information we collect to process race registrations and manage event logistics; communicate with you about upcoming races, schedule changes, and event details; publish race results, photos, and event coverage; send our email newsletter and marketing communications (you may opt out at any time); improve our websites, events, and services; ensure participant safety during events; send event-related text messages when you have opted in or when communication is necessary for an event role; and comply with legal obligations.
Third-Party Services
We work with trusted third-party services to operate our business. Google Analytics (via Google Tag Manager) provides website traffic analysis. ActiveCampaign powers our email marketing and automation. UltraSignup and RunSignUp handle race registration processing under their own privacy policies. YouTube provides embedded video content. WordPress.com and Jetpack support website hosting features and site statistics. Square powers our merchandise store. Each of these third parties only has access to the information necessary to perform their services and is obligated to protect your data. We may also use service providers for event communications, text messaging, timing, registration, safety coordination, and other event operations.

Our websites use cookies — small text files stored on your device — to improve your browsing experience. Race Results, Photos, and Media
By registering for an Aravaipa Running event, you acknowledge that your race results — including name, age, gender, finish time, and placement — will be published publicly. Photographs and video footage captured at our events may be used in our marketing materials, websites, social media channels, and media productions, including films and documentaries produced by our media team at Mountain Outpost. You may also appear in race coverage shared by media partners and fellow participants. If you wish to have specific photos or media removed, please contact us.
Text Messaging and Active Event Communications
Aravaipa Running may use text messaging to communicate with participants, volunteers, crew members, emergency contacts, event staff, and other people involved with an active event.
Our text messages are practical and event-related. We may text about things like:
- Race-day logistics
- Schedule changes
- Parking, shuttle, packet pickup, or check-in information
- Course changes
- Weather or trail conditions
- Cutoff updates
- Aid station or volunteer coordination
- Participant tracking
- Missing runner, medical, or safety-related coordination
- Other event operations directly related to an active event
Much of our SMS communication is related to participant safety and event operations, especially during trail and endurance events where runners may be spread out over long distances or remote areas.
We do not send marketing messages by SMS. We do not use SMS to promote races, sell merchandise, send advertising, or send unrelated announcements.
Message frequency varies by event and by your role in the event. Message and data rates may apply.
You can opt out of text messages at any time by replying STOP. After you reply STOP, you may receive one final message confirming that you have been unsubscribed.
